    Comparing commercial refrigeration maintenance proposals

Compare commercial refrigeration maintenance proposals by equipment, service scope, visit timing, reporting and repair exclusions before choosing a plan.

Refrigeration maintenance proposals can have similar prices while covering different equipment and work. Before choosing a plan for your Brisbane or South East Queensland business, check the scope and how identified faults will be handled.

Give each contractor the same equipment list, operating hours and known concerns. That makes the proposals easier to compare against your site’s needs.

Match the proposal to an equipment list

List each cold room, freezer room, upright fridge, preparation cabinet, display cabinet and ice machine you want covered. Add a location or asset number, make and model where available, and any recent repair history. Check that every item appears in the proposal.

Clarify responsibility for equipment owned or maintained by a landlord, beverage supplier or another provider. For several sites, use a separate list for each address to help spot missing units or duplicated services.

Ask what happens at each visit

A visit frequency alone does not describe the service. Ask the contractor to set out the planned tasks for each equipment type, the checks to be recorded and any cleaning included. Establish which tasks remain with your staff between visits.

Discuss equipment-specific requirements rather than expecting an ice machine, display fridge and freezer room to receive identical work. The proposed scope should account for manufacturer guidance, how the equipment is used and any known operating problems.

    Check timing and site access

Explain trading hours, delivery times, seasonal peaks and the periods when equipment can be made available. Ask how visits will be arranged and what happens if access is unavailable. Include induction requirements, security contacts and any restrictions around plant areas.

Discuss why the proposed service frequency suits the site. A useful plan should have room for review when equipment, loading, operating hours or conditions change. Avoid treating one standard calendar as the answer for every asset.

    Separate servicing from additional repairs

Check whether the quoted price includes consumables, filters, replacement parts, refrigerant, travel and work outside normal hours. Ask which items require a separate quote or approval. Compare any callout or labour rates on the same basis.

Establish who receives defect recommendations, who approves repairs and how outstanding items will be tracked. Finding a problem during a service visit is only the first step if the repair still needs approval.

Clarify breakdown support separately. Do not assume a maintenance agreement includes every emergency visit, guaranteed attendance times or all replacement parts unless those commitments appear in the agreed terms.

    Agree on useful reporting

Ask for reports identifying the asset, work performed, findings and recommended actions. They should make the next step clear to someone who was not present.

Keep reports and approvals together to review repeated faults, outstanding work and possible replacements. For several locations, agree who receives reports and manages the overall action list.
